TomboyX had NetSuite running. But keeping it meant maintaining integrations, adding operational overhead, and building a team around an ERP that no longer fit the business.

When a 3PL change accelerated their timeline, TomboyX had a choice: rebuild their NetSuite stack or rethink it entirely.

They chose GoodDay and made the switch in 10 weeks.

Your ERP should scale the team, not expand it

NetSuite wasn't broken at TomboyX. It just required more people, integrations, and maintenance than the team could justify.

Keeping NetSuite, Shopify, and their 3PL in sync had become a job of its own.

"People were spending a ton of time making sure that data flowed between NetSuite and Shopify, NetSuite and our 3PL. There was so much technical debt within flows that we were just treading water trying to keep up. We knew there was so much additional work we needed to do just to make those integrations work as smoothly as we wanted them to, and we didn't have the time or capacity or resources to do that work."
— Rachel Van Noord, Head of Digital and CX

When TomboyX chose NetSuite, they expected to staff up around it. That hiring never happened, and the team wasn't going to add headcount just to accommodate its ERP.

"Our team was smaller than we had anticipated when we came on with NetSuite. … And we found that we weren't going to grow on a people level to be able to accommodate NetSuite."
— Christy Brewer, Director of Finance and Controller

NetSuite also required a separate integration platform to stay in sync with Shopify. That meant another vendor, another expense, and another system to maintain.

The question became less about whether NetSuite could work and more about whether it made sense to keep building around it.

A 3PL change forced the decision

TomboyX was already planning changes to its tech stack when a 3PL transition got pulled forward into Q1, wiping out their existing integrations.

At the same time, their NetSuite contract was coming up for renewal.

Rebuilding those integrations for a new 3PL would mean investing more time and money into a system the team had already decided wasn't a fit.

"Can we find a way to save a lot of dollars and time on reinventing the wheel with NetSuite? Can we just pull in a new software altogether? It was a little bit of a train wreck of situations that allowed us to rethink what we're doing, before we just start recreating something that's going to put us back in the same situation we currently were in."
— Christy Brewer, Director of Finance and Controller

Instead of rebuilding the old stack, TomboyX decided to replace it.

Why TomboyX chose GoodDay

TomboyX didn't need another sprawling ERP implementation. They needed an inventory-first system that worked with Shopify and could be run by the team they already had.

GoodDay gave them three things that mattered immediately:

No integration middleware. Because GoodDay is built directly into Shopify, TomboyX could remove the additional integration layer they had needed to keep NetSuite and Shopify in sync.

Automated landed cost. Work Christy had been assembling manually could live in the system instead.

Inventory visibility for the whole team. With unlimited users and GoodDay inside Shopify, inventory information could be accessed by the people who needed it without routing every question through Finance.

"Our team being able to add visibility on inventory without having to poke me on it was a big thing. It's inside Shopify, so it's something people are familiar with already. We needed something very specific and honed in on what we needed: inventory, POs, receipts, that simplicity of it all."
— Christy Brewer, Director of Finance and Controller

A new 3PL. A new ERP. 10 weeks.

TomboyX wasn't just replacing NetSuite. They were changing fulfillment partners at the same time, with their old integrations already gone and a deadline that wasn't moving.

They had 10 weeks.

GoodDay's onboarding team worked directly with TomboyX and its new 3PL to get inventory and order data flowing through the new stack.

"River has really been an excellent thought partner for us. One of their strengths is helping you see what's possible. They know the space and understand how ecommerce works. We knew we needed that kind of thought partner, because we were doing this way faster than we expected to and with less of a safety net than we wanted."
— Rachel Van Noord, Head of Digital and CX

They hit the date.

What changed

One view from PO to received inventory. TomboyX gained visibility across the inventory lifecycle without piecing the story together across systems and spreadsheets.

Inventory questions became self-service. Team members could find the information they needed instead of routing routine questions through Finance.

Promotions became easier to operate. TomboyX could reserve inventory for gift-with-purchase campaigns, helping automate the process while giving Customer Success better visibility into what was available.

The tech stack got simpler. With inventory operations in a system built around Shopify, TomboyX could make downstream technology decisions without compensating for the complexity of its ERP.

"Having GoodDay helping us manage inventory allows us to think about other tools in a different way, and to bring in simpler solutions than we were going to be able to bring in before we had this."
— Rachel Van Noord, Head of Digital and CX

Run a fit test, not a feature count

Christy's advice for other teams evaluating ERP software is simple: start with what your business actually needs.

"Really flush through exactly what you want out of your system. What are those top five things that I really need to have? If this can't fulfill these top five, then why are we even looking at it. It's nice to have all of these abilities in a big old ERP system, but possibilities, you have to have time to have possibilities. At the end of the day, what's going to be the most efficient, most effective product for your company that's going to make the biggest impact for your team?"
— Christy Brewer, Director of Finance and Controller

A bigger feature list only matters if you have the team to use it.

For TomboyX, replacing NetSuite meant less integration overhead, less manual work, and a simpler operating system for the team they already had.

Your ERP should scale the team you have, not require you to build a team around it.
